CONDITIONS OF TRAVEL
The tickets or vouchers with which you have been provided have been booked by us (The Mindful Travel Co.) on your behalf with various Service Providers.
Each Service Provider may have their own terms & conditions applying to your travel. It is important that you read the relevant & corresponding information on your vouchers for each of your bookings in order to understand all applicable terms & conditions.
The Mindful Travel Co. uses the travel consolidator Website Travel (ABN 37 108 914 594) to handle all funds on behalf of customers. Website Travel is a travel consolidator that is fully bonded by the Travel Compensation Fund in Australia, hence guaranteeing any payments made.
OPEN DATED BOOKINGS: You must book your travel dates in advance with the individual Service Provider as per the details provided on your voucher. We recommend making your booking 7-10 days in advance however this may vary between operators and in peak seasons.
BOOKED DATES: It is your responsibility to ensure that you redeem your tickets on the dates that we have booked for you. If you wish to change these dates you must contact us ASAP or organise this directly with the Service Provider directly, with adequate notice. Failure to do so within cancellation periods outlined in these conditions may incur cancellation fees.
You are required to reconfirm all booked dates at least 48 hours prior to travel (contact details are provided on your voucher) or in the manner stated on your voucher. If applicable, dietary requirements should also be confirmed at this time. Please do not contact The Mindful Travel Co directly for this.
CANCELLATIONS and REFUNDS
Cancellation of a booking, or partial booking, will incur the fees listed below. Credit card fees and any additional fees paid to us for luggage storage are not transferable or refundable. Please note that deposits on bookings are also non-refundable, but may be used as online credit towards future bookings.
30 – 60 Days before travel date – Cancellation fee is 25% of Fare
14 days – 29 days before travel date – Cancellation fee is 50% of Fare
Within 14 days before travel date – Cancellation fee is 100% of Fare
Cancellation fees will NOT be waived as a result of the following:
Injury or sickness.
Delayed, rescheduled or missed flights.
Climatic, social or political problems.
The cancellation fee is not applicable for Dive Courses where you fail a Dive Medical test; or Skydives cancelled by the Service Provider within 3 days of booking due to weather, and a full refund will apply.
All refunds will occur in the local currency and will be refunded to the same card that payment was made with. If your credit card uses a different currency, the amount refunded may be different from the original amount paid due to exchange rate fluctuations. The Mindful Travel Co. is not liable for these fluctuations, or any fees your bank charges.
Following a flood, fire, cyclone, etc. many service providers do not offer a refund, hence we cannot provide a refund to you. We strongly recommend Travel Insurance to cover this situation. Where a refund or other payment applies, you may choose to transfer the whole cost of the tour to another tour. However, we may charge you a transfer fee of $30. Whilst we normally attempt to process refunds swiftly, situations (such as natural disasters) may result in up to 30 days processing time, due to high volume.
By purchasing a cancellation insurance policy at the time of entry into these terms and conditions you can reduce all risk of being subject to various fees and unexpected costs as a result of unforeseen circumstances and changes. You can, in some cases, claim up to 100% of the associated costs and fees incurred through the insurance provider, dependent on the terms of policy purchased.
We realise that unforeseen circumstances occur and we will assist you as much possible if you require changes to be made to your trip. Please Note: These changes depend on availability and are not always possible. Transfers between tours may incur up to a $30 fee depending on the time of amendment. Date changes of packages will be subject to an amendment fee which will depend on the duration of the trip and will be quoted to you at the time of your request.
Please refer to each individual tour/package to establish which meals are included.
Most tours and packages will require a certain level of participation. This may include assisting, and cleaning up afterwards, with the preparation of meals, collecting firewood and sweeping out tents.
FITNESS LEVEL AND AGE POLICY
All of our products and packages require a moderate level of fitness. As a general rule, we recommend that our customers need to be fit enough to walk an average of 6 kilometres a day, though not all tours will require this amount of walking. If you are concerned about your suitability to a tour, please contact us and we can provide more information regarding the physical demands of that particular product and often recommend a more appropriate product if your first choice is not suitable. Clients aged 60 and over may be asked to complete additional health information and potentially a medical assessment form, depending on which tour or activity they are participating in.
In most cases, luggage is restricted to 15kg per person in a soft bag or backpack along with a small day pack for easy access to a camera, sunblock etc. Those starting and finishing in a different location can request 20kg at time of booking with a soft bag. Luggage can be left at your accommodation when joining a day trip or overnight trip returning to the same location. The Mindful Travel Co. is not responsible for storing any luggage as is not liable for any lost or damage luggage.
The inclusions, departure details & itinerary points of each tour & activity listed on mindfultravelco.com are current as of the last product update. The Mindful Travel Co. endeavour to reflect up-to-date information on all website pages, but will not be held accountable for changes from suppliers which are yet to be reflected on site. Upon booking we ask that you review details listed in your vouchers and tickets as these will be the most reliable.
We endeavour to package the best value tours available at the best prices. However, we take no responsibility for price fluctuations arising from changes in the prices charged by Service Providers occurring before final payment. Accordingly, the price of your travel is subject to change until such time as you pay for the travel in full.
We endeavour to package tours that will exceed your expectations. However, we take no responsibility for any matters that arise with regard to or during individual tours or arrangements with individual Service Provider. We appreciate your feedback, whether complaints, compliments or suggestions. However, to the extent permitted by law we will not be responsible to you for any loss, expense or damage that you may suffer during any particular tour, accommodation or travel, no matter the cause. These matters are the responsibility of each individual Service Provider and you agree that you will not hold us liable in any such circumstance.
Itineraries are correct at time of publication and may differ slightly to the one displayed on our website. Occasionally itineraries change as operators make improvements based on comments from past travellers. Additionally National parks alter their policies so that certain walks are no longer available for safety reasons. If we are unable to utilise a product, service or activity detailed, a suitable alternative will be offered where possible.
Many tours have extra costs and you should be aware that there may be added expenses. These expenses will differ for each Service Provider but some of the more usual extras are: EMC Tax, Stinger suit Hire, Luggage storage, Sleeping Bag Hire, Linen Hire, National Park Fee, Food, Insurance, Accommodation, Equipment Hire, Petrol Levy. We will alert you to extra costs to the extent reasonably practicable. However, you must also check with each individual Service Provider when you confirm your ticket.
FEES AND LEVIES
Credit card payments attract a 1.7% surcharge.
Our suppliers make every effort to safeguard clients, and we cannot be held responsible for personal injury or sickness to any passenger whilst travelling on one of our packages or tours.
Passengers should note that adventure travel involves a higher than normal risk and a signed release may be required from all participants from a number of our activity providers. The Mindful Travel Co. works with the best operators available but takes no responsibility for any act of neglect by any operator whose services are used as part of your trip.
Travel Insurance is NOT included. We strongly recommend that every passenger purchases travel insurance. It is the client’s personal responsibility to purchase their own travel insurance to cover any liability which may be incurred to us or our service providers. We strongly recommend that clients source travel insurance against illness, injury, loss/damage to personal belongings and not being able to travel on either the confirmed departure date or a connecting service at the end of a tour. Our operators often work in remote locations and meeting flights or other transport arrangements after tour cannot be guaranteed. Travel insurance with a low excess payment is recommended to make claims on cancelled tours worthwhile. Travel Insurance is compulsory for some of our tours and packages and we will inform you of this if this is applicable.
SMOKING/ DRINKING AND BEHAVIOUR ON TOUR
Government regulations prohibit smoking and the drinking of alcohol inside tourist vehicles (smoking and drinking should be limited to stops along the route).
Please act responsibly and with respect on your travels. All service providers reserve the right to cancel bookings based on the recommendation from another provider due to misconduct/misbehaviour during another stage of their trip. The Mindful Travel Co. will treat this as any normal cancellation and charge a 50% cancellation fee, plus any service provider fees.
Prices are quoted in Australian Dollars and are inclusive of GST for Australian products and in New Zealand Dollars, inclusive of GST, for New Zealand products. Our pricing season runs between April 1st to March 31st and price changes will be applicable if your trip runs through a season change.
Please request child rates at the time of booking as many of our operators provide a child policy.
PASSPORT & VISAS
It is your responsibility to ensure that you have valid passports, visas and re-entry permits which meet the requirements of immigration and other government authorities. Any fines, penalties, payments or expenditures incurred as a result of such documents not meeting the requirements of those authorities will be your sole responsibility. All travellers must have a valid passport for international travel and many countries require at least 6 months validity from the date of return and some countries require a machine-readable passport.
